  • Paper checks received through the mail can now be converted to electronic transactions to be sent to the Automated Clearing House (ACH) for settlement.

    This system reads payment information electronically, including routing number, account number, customer name and check number. Payment information is then entered by NPS's processing center into the ACH network and transmitted to the merchant's financial institution. The entry information flows through the ACH network and debits the customer's account. Settlement is carried out in the same manner as for other ACH transactions within 24 - 48 hours. The business retains the check, or a legally permissible copy of the check (Image), according to regulations. The processor also maintains an image of the checks.

    Transaction Flow
    Before the first ACH transaction is initiated, the business must notify the customer of the conversion procedure by a notice or enclosure with a bill sent prior to the time the conversion process is to begin. Additional details on the methods of notification are available from NPS. Notification is also made of the Electronic Recovery process at this time to ensure expeditious and inexpensive recovery of returned items. Once notification is complete, the following steps are taken:

    The customer mails paper checks to the remittance address (business or lockbox location) as usual.

    The Merchant accepts the check and it is converted into an electronic item. Conversion consists of check being imaged in order to capture the MICR, customer information and check amount.

    Merchant transmits this information to the NPS processing center in a daily batch.

    The data flows through the Automated Clearing House (ACH) system and the customer's account is debited at his/her bank-Receiving Depository Financial Institution (RDFI) and the businesses account is credited at his/her bank-Original Depositing Financial Institution (ODFI).

    Business retains and stores the paper instrument per NACHA regulations for 14 days before destroying.

    Every check processed electronically reduces the administrative overhead required for posting, deposit preparation, and balancing. Accounts Receivable can be automatically updated. Collected funds are available the next business day, eliminating two and three day float and increasing funds available for investment, and debt service.

    In addition to reducing the number of overall returned checks, electronic processing reduces bank fees associated with returned items by utilizing the Electronic Recovery process.

    In order to optimize daily settling activity, banks process electronic items prior to paper checks, making it more likely that funds will be available in the check writer's account.

    Electronic items generally clear within 48 hours versus the average of five to seven days when accepting a paper check through traditional billing systems

    A Phone Check is the acceptance of checking account information over the phone for payment of goods and services ordered through a call center. This transaction is processed via the ACH network. It can be tied via TCP/IP connection to our secure Internet gateway for automated processing and online reporting or it can be processed with our proprietary software.

    Acceptance of phone checks has been utilized by several industries over the past 20 years -- Insurance, Health Clubs, and Auto Ship programs, to name a few. The difference today, with Phone Check from NPS, is the ability to process all transactions as electronic items. There are no paper drafts, no NSF fees related to paper item processing and no time delay in receiving funds.

    As with our other services, Electronic Recovery is a part of the Phone Check process. Authorization is also obtained at the time of the call, or in advance in order to process return items according to the Electronic Recovery guidelines.

    Transaction Flow
    Accepting your customer's check over the phone can be as easy as accepting any credit card with the added advantage of far less expensive costs associated with a phone check transaction. You simply ask your customer for the information printed at the bottom of the check. The customer authorizes the merchant to create an electronic transaction (ACH) on his or her bank account as a means of payment for goods or services purchased over the telephone. Once the business has authorization from the customer, that entity is in control of receipt of payment. At this point the business forwards this information to the Phone Check processing center via our software or TCP/IP secure Internet protocols. Our processing center will "originate" the transaction for deposit into your account within 24 - 48 hours, depending on the exact time of the transaction.

    Conversion is the process of converting a paper check to an electronic payment. The system is easy to operate for the consumer, cashier and administrative personnel. The value of integrating conversion into the retailer's payment system is two-fold: cost reduction and greater efficiency. Savings over traditional paper check processing include bank fees, deposit preparation, returned item tracking, cash management and collection. Efficiencies include reduced transaction time at the check-out lane, a more efficient process for closing out registers at the end of each shift, reduced returned item processing, more efficient processing of remaining NSF items, reduced error rate, and improved customer service. Considering all the elements of cost and efficiency, conversion is substantially favorable to traditional check processing. NPS merchants can feel confident in utilizing Retail Check.

    Transaction Flow
    Initially, the consumer authorizes conversion with the retailer. The consumer presents the check to the cashier, who inserts it into a check-reader. This allows the MICR line (magnetic ink character) line to be read. The converted electronic message is transmitted to the NPS processor where verification and conversion occur. A message either approving or denying the transaction, based on a flexible verification process, is transmitted back to the cashier in less than 10 seconds. This transmission can occur in as little as 5-6 seconds in a dedicated-circuit environment. The check information is converted into an Electronic transaction and the physical check is no longer required. It is voided and returned to the consumer. Depending on bank policies, the consumer's bank statement will provide details of the transaction, including the retailer's name, check number and amount. Funds are available to the retailer the next day.

    In the Electronic Recovery process, there are NO NSF fees charged to the business for the first OR second return. The collection of the customer's NSF fee funds the process. Never pay NSF fees again. Notice of an electronic returned item is provided to the merchant within 24 to 48 hours of the original settlement date. This directly compares to a period of 7 -14 days for traditional paper processing. This provides a considerable advantage to businesses when dealing with return items.

    Transaction Flow
    Customer authorization for collection of NSF has been given at time of transaction. In the first stage of collection process the electronic return is received within 24 to 48 hours by the processor. The face amount is immediately re-presented for collection via the ACH network. Historically 50% of these returns will clear on the first pass with Electronic Recovery. If the item is returned again it is re-presented for a second time on a strategic date. If the item remains uncollected after the second representment, at the client's option it will go into traditional collections. This includes letters sent, calls made, skip tracing, etc. If collected there will be a split of the face amount with traditional collection.

    Settlement and Reporting
    Processing through the ACH network allows for rapid funding of accounts. The originator of the transaction will see their account debited within 24 - 48 hours and the transaction will be noted on their account statement from their bank. NPS provides an integrated online reporting tool to communicate information for easy account reconciliation. This tool allows a merchant/client to view detailed transaction information. Clients are normally reimbursed monthly for collected return items.
